GUIDELINES FOR CIRCULATION
OF LIBRARY MATERIALS
ELIGIBLE
BORROWERS
Library
materials of the College may be loaned to the following:
1.
Currently
enrolled DCCCD students, currently enrolled Eastfield
Continuing Education students, DCCCD faculty, administrators,
and staff - limit of 10 (10) items per patron.
2.
Students
auditing a credit course - limit of two (2) items.
3.
TexShare
cardholders - limit of ten (10) items.
4.
Dallas Art
Institute - limit of three (3) items.
5.
Retired DCCCD
Personnel cardholders - limit of five (5) items.
IDENTIFICATION REQUIRED
Identification
required as follows:
1.
An Eastfield
College ID card is available for students through the Computer
Lab (L108). The
first card is free; however, replacement cards cost $10.
Students receive a fee receipt when registering for
classes in person, by telephone, or online.
Paid fee receipts serve as ID accompanied by a picture
ID such as a Driver’s License or State issued ID card.
Other forms of ID accepted by the Library for checkout
purposes are a valid picture ID, Driver's License, or other
DCCCD ID card.
2.
Continuing
Education students are issued a receipt that serves as an ID
card. The receipt lists the beginning and ending dates of the
class during which time borrowing privileges are allowed. A
valid picture ID such as a Driver’s License or State issued
ID card must be presented at time of check out.
3.
An
Eastfield
College
staff ID card is available for all employees through the
Computer Lab (L108).
4.
TexShare cards
are issued to eligible members of institutions in the TexShare
program by the Institution's library. Applications for
Eastfield
College
students and staff are available at the Eastfield Library
Circulation Desk upon request. TexShare cards must be signed
by the Librarian and the applicant before the card is valid
for use. Only signed TexShare cards are honored at member
institutions.
5.
Retired DCCCD
Personnel may be issued a DCCCD retiree ID card upon request
by filling out the DCCCD Retired Employee Identification Card
Information form available from the District HR office.
MATERIALS
TO BE CIRCULATED
In
most cases, a maximum of ten (10) items may be charged to a
patron's record at one time. Circulating items consist of
books, CDs, videos / DVDs, circulating audiotapes, digital
cameras, laptop computers, and vertical file materials. Limits
are based on type of patron (See Eligible Borrowers section).
No more than four (4) media items (including CDs and videos /
DVDs) may be charged to a patron's record at any time. Ten
(10) vertical file materials are equivalent to one (1)
circulating item.
PRINT
MATERIALS
1.
BOOKS
Books
in the circulation collection may be checked out for three
weeks. Books may be renewed for another three weeks unless a HOLD
has been placed on the particular book. (See Guidelines for Extended Loan Periods for Circulating Materials).
2.
VERTICAL FILE
MATERIALS
Vertical
file materials (maps, pamphlets, booklets, etc.) may be
checked out for a three-week period using a Manual Circulation
form. A limit of ten (10) Vertical file items may be charged
to a patron's record. Ten
Vertical file materials count as one (1) circulating item.
NON-PRINT
MATERIALS
1.
MEDIA VIDEOS /
DVDs
ITV
Videos
(Instructional Television Videos) located near the
Media/Reserves desk may be borrowed for a two-day loan period
with a limit of two (2) videos per patron. ITV
Videos may not be renewed.
3-Day
Videos / DVDs are
located through the double doors leading to the extension, on
the wall adjacent to the copier room and L208.
The 3-Day Videos and DVDs may be borrowed for a
three-day loan period with a limit of two (2) videos per
patron. 3-Day Videos may be renewed once.
Semester
Videos / DVDs are
located on the shelves behind the Media/Reserves Desk.
Semester Videos / DVDs are available for Telecourse
students only. Students
must present a paid fee receipt and ID.
Semester Videos/DVDs are available the first day of
class or thereafter.
2. MUSIC CDs
CDs
may be checked out for use within the Library or for a
three-week loan period. CDs are housed in the Media / Reserves
area. Stereo headphones are available at the Media/Reserves
desk for in-library use only.
CDs are listed in the online Library
Catalog.
3. DIGITAL CAMERAS
Digital
Cameras may be checked out from the Circulation desk for a one
week loan period with two (2) one week renewals allowed.
Patrons must supply the diskettes for the photos.
Only Eastfield College staff may check out digital
cameras. Digital
Cameras must be renewed in the Library.
4. LAPTOP
COMPUTERS
Laptop
Computers may be checked out from the Circulation desk for a
one week loan period with two (2) one week renewals allowed.
Only Eastfield College staff may check out the Laptop
Computers. Laptop
Computers must be renewed in the Library.
NON-CIRCULATING
MATERIALS
All
reference books, periodicals, print and non-print reserve
items may not be circulated and must be used only in the
Library.
PRINT
MATERIALS
1.
REFERENCE BOOKS
Reference
books may not be loaned out except under special circumstances
approved by the Librarians. (See Guidelines for Special Charges - Reference /Periodicals).
2.
PERIODICALS
Back
issues of periodicals may be requested at the Reference desk.
A call slip must be completed with a limit of three periodical
requests at one time. A valid picture ID card, Driver's
License, DCCCD ID must accompany the call slip. All
periodicals whether back issues or current issues on the
periodical shelves may
be used only in the Library. (For special circumstances
see Guidelines for Special Charges -Reference/Periodicals.)
3. PRINT
RESERVE MATERIALS
A
variety of materials including books, periodical articles,
Instructor’s notes, Xerox copies, and THEA (TASP) reviews
are placed on Reserve by faculty and staff for use in the
Library. Reserve materials are housed in the Media/Reserves
room and may be requested at the Media/Reserves desk. Patrons
may request only one Reserve item at a time. A valid picture
ID card, Driver's License, DCCCD ID, or fee receipt with
accompanying picture ID is necessary to request Reserve
materials. Print Reserve materials must be used only in the
Library.
NON-PRINT MATERIALS
1. NON-PRINT
RESERVES
A
variety of media materials including videos/DVDs, cassettes,
kits, THEA (TASP) modules, biology and anatomy models, geology
rocks & minerals, etc. are placed on Reserve by faculty
and staff for use in the Library. Non-print Reserve materials
are housed in the Media/Reserves room and may be requested at
the Media/Reserves desk. Patrons may request only one
Non-print reserve item at a given time. A valid picture ID
card, Driver's License, DCCCD ID, or fee receipt with
accompanying ID is necessary to request Non-print reserve
materials. Non-print reserve items must be used only in the
Library. Non-print reserve items are composed of the
following:
a.
Faculty and
Staff non-print reserve items may be the Instructor's personal
materials or materials requested from Media & Production
Services. All reserve items are requested at the
Media/Reserves desk and are for in-Library use only.
b.
Permanent
Reserves are ITV (Instructional TV) audio and videotapes
housed in the Media/Reserves as a permanent collection. All
permanent reserve materials may be requested at the
Media/Reserves desk and are for in-Library use only.
c.
Audiotapes are
housed in the file cabinets adjacent to the Media/Reserves
desk. All
audiotapes on reserve may be requested at the Media/Reserves
desk and are for in-Library use only.
d.
Media &
Production Services materials are located in L112 and are
available for Library use through completion of a Distribution
Request form filled out by a staff member and by telephone
confirmation with Media & Production staff. All MPS
materials require twenty-four hours advance notice. 16mm films
are available to students with Instructor's approval.
All MPS materials may be requested from the
Media/Reserves desk and are for in-Library use only.
RETRIEVAL
OF MATERIALS
Materials
may be returned to the library via the following methods:
1.
In person
2.
The District Mail Service
3.
The U.S. Postal Service
OVERDUE
MATERIALS
All
materials including books, CDs, CD-ROMs, diskettes,
circulating audiotapes, videos/DVDs, vertical file items, and
any Special Charge or Extended Loan items checked out from the
Library are considered overdue if not returned to the
library by the due date. The following system is in effect for
overdue materials.
1.
The first
notice, sent on
the second day after the due date, is transmitted via
e-mail.
Students, staff, and faculty are asked to keep current
e-mail addresses on file.
Changes should be noted at the Circulation desk or at
Admissions.
2.
The second
notice, sent on the seventh day after the due date, is a
paper reminder conveyed via the
U. S.
mail to the patron’s address on file.
Staff and faculty receive the second notice via
intercampus mail.
3.
The third
notice, sent on the twenty-first day after the due date,
is a statement with charges of the cost for replacement of
materials that are checked out.
Staff and faculty receive the third notice via
intercampus mail. Blocks
are placed at the time of the third notice.
Blocks prohibit further check out of library materials,
registration, receipt of grades and transcripts, etc.
4.
When an item is
overdue, Overdue Notices are generated by the Triple I system
for all materials checked out using the on-line system.
a.
Overdue Notices are produced by DCCCD ERSS.
b. Overdue Notices are received by
Eastfield Library.
c.
Overdues are searched in the Triple I system for verification
by
the Circulation Assistant.
d.
Overdue Notices are sent to patrons via U.S. mail.
5.
At the end of the semester, a printout of
overdue materials is
generated for all materials checked out using the
online system.
a.
The printout includes overdues of Eastfield students, staff,
and
faculty.
b. The printout also includes overdues of other DCCCD
campus
patrons with Eastfield materials.
c.
TexShare patrons with overdues are included on this printout.
e.
The printout
includes overdues of all Interlibrary loan patrons
with Eastfield materials
6.
At the end of
the semester, all patrons with overdues are blocked
manually in Colleague and blocked automatically in
Triple I. Such patrons are unable to obtain grades,
transcripts, register for new classes, or borrow materials
until overdue materials are returned or paid for. The
following is a Lost/Damaged Materials Price List. All
items are subject to a $10.00 processing fee which is
non-refundable.
